The founder and CEO of Valley Janitorial started the company with a vision—to provide exceptional janitorial services throughout Salt Lake City. However, as the company expanded, daily operational responsibilities became overwhelming. The founder frequently worked 50-60 hours per week, caught up in constant operational tasks—managing hiring, onboarding, training, inspections, supply inventory, client relations, and invoicing. Each task required their personal attention, leaving minimal time for strategic growth and sales.
Before partnering with Scale Lite, Valley Janitorial was entirely paper-based and reliant on email communication. Operationally, the company relied solely on determination and manual efforts. Frequent client complaints, unpredictable profitability, and constant firefighting defined the business’s day-to-day operations. Recognizing the need for change but lacking the tools and expertise, Valley sought a solution.
The Turning Point:
When Valley Janitorial connected with Scale Lite, they saw an opportunity to transition from overwhelming daily tasks into true business ownership. Scale Lite proposed a strategic plan involving the implementation of effective technology, clear processes, automation, and enhanced delegation, promising substantial reductions in operational involvement.
Scale Lite conducted a comprehensive audit of Valley Janitorial’s operations, quickly identifying areas for systemization, data-driven decision-making, and delegation.
Tailored Technology Solutions:
Scale Lite introduced customized technology solutions specifically designed for Valley Janitorial. The transition from paper-based methods to cloud-based systems significantly improved operational efficiency. Documents, contracts, employee information, and client data became securely organized and instantly accessible, substantially reducing direct managerial involvement.
Process Definition and Automation:
Critical operational processes—hiring, onboarding, inspections, invoicing—were meticulously documented into clear Standard Operating Procedures (SOPs). Scale Lite implemented role-specific checklists and automated previously manual tasks, enabling supervisors, inventory managers, and cleaners to operate autonomously.
The impact was immediate: client complaints dropped over 80% within six months, greatly enhancing the company's reputation and customer retention.
Empowering Through Data Visibility:
Previously reliant on intuition and guesswork, Valley Janitorial now utilizes comprehensive data collection and analytics. Complete visibility into profitability metrics, marketing effectiveness, customer acquisition costs, and operational efficiency allowed confident delegation and clear responsibilities for each team member.
Operational Freedom and Business Growth:
Most notably, the founder’s operational commitment dropped significantly—from 50-60 hours weekly down to just 10-15 hours, a reduction exceeding 70%. Freed from daily operational tasks, the founder transitioned from constant hustle into visionary leadership, dedicating newfound time to sales, strategic marketing, and business expansion.
Now truly operating as a business owner rather than a manager caught in daily tasks, the founder leverages clearly defined systems and reliable data to focus strategically on high-value growth activities. This shift from operational overload to genuine business ownership significantly accelerated growth.
Valley Janitorial’s Tangible Results:
Within six months of partnering with Scale Lite, Valley Janitorial experienced remarkable improvements:
- Owner Empowerment: Over 70% reduction in direct operational hours, reclaiming substantial time for strategic growth.
- Operational Efficiency: Client complaints decreased by over 80%, reflecting enhanced reliability and trust.
